Cleveland Clinic Residency Clinic Coordinator - Psychiatry in Akron, Ohio

As a Residency Clinic Coordinator in the Psychiatry Clinic, you will be responsible for coordinating the daily activities of the clinic and ensuring efficient and professional patient flow through the office. Some of your primary duties include:

Completing checkout, scheduling appointments, and ensuring completing of the revenue cycle by posting charges, processing emails, and troubleshooting billing problems.

Answering phone calls in a positive and professional manner while assessing and evaluating the needs and concerns of patients and community stakeholders.

Maintaining the clinic schedule and a collaborative relationship with physicians, clinical caregivers, administrative caregivers, and billing caregivers.

Greeting and instructing patients and visitors and acting as a resource to our Psychiatry residency program.

Processing all patient documents related to appointments, tests, and subsequent referrals.

40 hrs per week

M-F 8am-5pm

Responsibilities:

  • Develops and maintains a collaborative relationship with the Department administrative staff and orthopedic clinical staff.

  • Coordinates reception, appointment scheduling, registration, charge entry and medical records functions to promote the smooth, efficient flow of patients through the office. Ensures accurate and timely entry of registration data.

  • Collaborates with coding coordinator(s) to ensure compliance with ICD-9 and CPT coding. Ensures accurate and timely charge entry and processing of denials. Troubleshoots billing problems.

  • Implements organizational policies and procedures. Identifies, analyzes and resolves work problems. Takes appropriate steps to solve patient and guest complaints or problems. Recommends, implements, and evaluates patient satisfaction initiatives.

  • Collaborates with Patient Financial Services in referring patients to available funding sources such as Medicaid, Access to Care, and Medicare.

  • Assists with completion of financial assistance forms and refers appropriately to the hospital prescription assistance program.

  • Serves as a liaison between the practice and administration, billing service, IS, finance, and other hospital departments.

  • Orders supplies, prepares check requests for purchased items in a timely manner, and works with Accounts Payable to process payments. Maintains strict control of expenses.

  • Monitors facilities to ensure they are safe, secure, and well maintained. Ensures adequate inventory of supplies and equipment. Ensures offices are opened and closed according to procedures.

  • Promotes office in a positive manner within the hospital and in the community.

  • Completes mandatory education and training in order to maintain organization and department specific competencies and requirements. Maintains applicable certification/licensure.

  • Follows hospital and department policies and procedures with special attention to attendance and punctuality, confidentiality, dress code and display of ID badge, and safety.

  • Other duties as assigned

Education:

  • Associate's degree in relevant field or the equivalent combination of relevant experience and/or education.

Certifications:

  • None required

Complexity of Work:

  • Knowledge of billing procedures, CPT, and ICD-9 coding skills.

  • Proficient with computer software applications (Word, Excel) and medical practice management systems.

  • Ability to deal with patients, residents, attending physicians, office staff members, administration, and the public effectively.

  • Ability to troubleshoot and train others on the use of medical office systems.

  • Excellent verbal and written communication skills and interpersonal skills.

Work Experience:

  • Two to three years experience in physician office setting.

  • Experience working in a medical teaching environment preferred.

Physical Requirements:

  • Ability to perform work in a stationary position for extended periods

  • Ability to operate a computer and other office equipment

  • Ability to communicate and exchange accurate information

Personal Protective Equipment:

  • Follows standard precautions using personal protective equipment as required
