Stony Brook Medicine (Stony Brook University Hospital) Nursing Station Clerk (NY HELPS) in Stony Brook, New York

Position Summary:

At the Long Island State Veterans Home, our Nursing Station Clerks are valuable members of our team, and primarily responsible for providing clerical duties on the Unit and other non-clinical duties as directed.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments.
When the Civil Service Commission adopts the NY HELPS resolution, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Duties of a Nursing Station Clerk may include the following but are not limited to:

Receives and screens telephone calls to the Nursing Unit, answers inquires, makes referrals and ensures the delivery of messages.

  • Maintains resident clinical record including but not necessarily limited to Resident identification on forms and Thinning of records
  • Operates and performs duties related to the resident's computerized medical and clinical data.
  • Coordinates the communications regarding resident status, care and services to other professionals and departments including requests for tests, consultations and referrals.
  • Maintains log of resident location, admission, discharge, leave of absence and disposition of resident clinical and medical records.
  • Completes admission record and notifies appropriate professionals and departments regarding admission and discharge of residents.
  • Coordinates residents' appointments and consultations including transportation arrangements.
  • Initiates and follows-up requests for maintenance, housekeeping and laundry services for the nursing unit(s).
  • Initiates and/or receives communications and reports regarding medications, treatments, accidents/incidents, infections and nursing quality assurance studies.
  • Pick up and deliver supplies and record to own corresponding unit. Check par levels of supplies, order and receive clerical supplies and equipment.
  • Sort and distribute mail, keep appropriate records, and redirect mail as necessary.

Qualifications:

Required Qualifications: One year of full-time clerical experience in a health care setting; or one year of full-time secretarial experience in a health care setting; or one year full-time patient care experience in a health care setting.

Legitimate Operational Needs: One year of full-time administrative experience in a health care setting. Prior experience with data-entry. Organizational skills. Computer proficiency.

55b/c Appointment: This position is eligible for 55b/c designation and are subject to verification of applicant eligibility. Candidates must possess the minimum qualifications and a current 55b/c eligibility letter.

Section 70.1 Transfer: Candidates must have one year of permanent competitive service in a title approved for transfer to Nursing Station Clerk 1.

Working Conditions:

Working conditions may involve exposure to infectious disease, blood, body fluids and/or tissue as well as other unpleasant elements such as accidents, injuries and illness. May be exposed to and be required to handle varying unpredictable, emergency and crisis situations. Occasionally subjected to irregular hours and pressure due to multiple calls and inquiries.

The Long Island State Veterans Home is a tobacco-free environment. Tobacco products are strictly prohibited anywhere on our 25-acre campus, including parking lots and outdoor areas on the premises.

Essential Position: This position has been designated as an essential position based on the duties of the job and the functions performed. This means that when the Long Island State Veterans Home is faced with an emergency, employees in such positions are required to remain at their work location or to report to work.

The LISVH is a 24/7 skilled nursing facility. As such, all positions are subject to changes in pass days and shifts as necessary to meet the operating needs of the facility.

The use of Vacation or Personal Leave accruals during the first 6 months of employment will not be authorized unless prior approval has been granted by Human Resources.
