Johns Hopkins University Academic Program Administrator in Baltimore, Maryland

We are seeking an Academic Program Administrator who will oversee all aspects of day-to-day administration of the School of Nursing (SON) MSN (Entry), MSN HOL/MBA, Post Master’s HOL Certificate Programs. This role requires strong organizational, analytical, and management skills, including data analysis, project management, coordination of task forces/other groups, and implementation/evaluation skills. This position is part of the Academic Affairs team and reports directly to the Program Director.

Major Responsibilities

  • Develop and implement processes, procedures, policies, and systems. May include course scheduling system, student databases, student worker tracker mechanisms. Maintain other program and student data bases.

  • Work closely with Faculty Program Director and/or Associate Directors in establishing program course schedules, brochures, catalogs, requiring planning, coordination, knowledge and understanding of the academic program.

  • Work closely with counterparts in SON and University wide departments.

  • Follows FERPA regulations in maintaining confidential student information.

  • Manage program pages on School of Nursing website.

  • Determine and set priorities for Programs website content.

  • Create strategic direction for both internal and external websites in collaboration with Marketing and Communications.

  • Collaborate with Program leadership to coordinate outreach strategy and program recruitment.

  • Expand and develop the program in conjunction with the Program leadership.

  • Administer the graduate program with limited supervision from the Program leadership.

  • Prepare programmatic handbooks, presentations, letters, and reports.

  • Manage logistics associated with events including but not limited to venue selection, catering, audio-visual, invitation designs, and budget development, as well as overseeing travel arrangements for faculty and guest lecturers.

  • Represent the program in administrative matters. May include issues pertaining to space, facilities, technology, student information system, classroom support, etc.

  • In collaboration with Committee Chairs and Program leadership; create and track meeting agendas and minutes, including follow-up of action items.

  • Monitor and assist admissions processes, progressions, and graduation committees, including preparation of agendas, drafting minutes, and scheduling these meetings.

Responsible for Program Communication and Coordination Committee for their particular Program

  • Program Administrators are both members and facilitators of these committees.

  • Keeping the Academic Program Manager informed of meeting developments.

  • Developing the Agenda in conjunction with the Program Director.

  • Recording meeting notes and follow up on information that should be shared with members as well as non-member areas and any action items from the meeting.

  • Maintain the membership list.

  • Exercise independent judgment and apply knowledge of administrative and academic operating policies to support student success.

  • Provide excellent customer service to students by relating program information and resources.

  • Assist students with administrative tasks and issues, like fulfilling school-wide requirements.

  • Manage applicable aspects of accreditation for the graduate programs.

  • In collaboration with Program Director and Program leadership manage annual program budgets.

  • Contributes to the planning and establishing and overseeing of the program budgets and expenditures. Contributes to program budget development and projections.

  • Responsible for regulatory compliance with state board and other related agencies’ requirements.

  • Develops various program reports (budget and non-budget).

  • Understanding and partnering in the University’s commitment to diversity, equity, and inclusion and ensuring these values are maintained throughout all aspects of the programs and in day-to-day interactions.

  • May be appointed, selected or volunteer to work as a member of university-wide specified workgroups, and/or SON special workgroups to complete and report specified tasks and outcomes.

  • Other duties as assigned.

Specific Duties & Responsibilities

  • The Academic Program Administrator for MSN Programs oversees all aspects of day-to-day administration of the School of Nursing (SON) MSN Programs.

  • This role requires strong organizational, analytical, and management skills, including data analysis, project management, coordination of task forces/other groups, and implementation/evaluation skills.

  • The Academic Program Administrator for MSN Programs performs duties for two separate and distinct programs. The MSN (Entry) into Nursing Program (a pre-licensure program) and the MSN Healthcare Organizational Leadership Program (a post-licensure program). The duties for these two programs include but are not limited to,

  • Providing vision and strategic direction with the program director and/or track coordinator for the programs, as well as developing and implementing processes, procedures, policies and systems.

  • Administering the day-to-day operations with limited supervision from the program director and/or track coordinator.

  • Integrating program developments in conjunction with the program director and/or track coordinator.

  • Identifying areas of concern within program and proposing solutions to program director, track director, and/or other SON administration.

  • Synthesizing and communicating program decisions and other relevant information to program faculty/staff, students, and other collaborators. This includes written communication on behalf of the program director and/or track director.

  • Resolving student concerns in coordination with the academic advisors.

  • Researching, compiling, and analyzing program trends and student information to provide reports to program director, track coordinator, and/or other SON administration.

  • Decision making on behalf of the programs in regard to administrative matters on issues including but not limited to space, facilities, technology, student information systems, scheduling, and classroom support. (i.e. serving as the point of contact for the external company that provides student experience surveys)

  • Creating strategic direction for both internal and external websites in collaboration with Marketing and Communications.

  • Establishing program course schedules, brochures, catalogs, etc. in collaboration with program director and/or track coordinator.

  • Building and sustaining cohesive relationships with counterparts in the graduate programs, academic departments, Dean's Office, student affairs, business office, marketing and communications and other SON departments, as well as other parts of the University.

  • Leveraging resources both within and outside of the University to enhance the program (i.e. attending internal and external conferences and applying garnered knowledge to curriculum, student experience, etc.)

  • Managing all aspects of accreditation, as well as maintaining regulatory compliance with state board and other related agencies' requirements in collaboration with the program director and/or track director.

  • Administering program committees such as the MSN Academic Progressions Committee and the MSN Curriculum Committee. Duties for such committee include but are not limited to scheduling meetings, gathering and maintaining student records and other documents, presenting information to the committees for voting purposes, planning agendas, maintaining minutes, leading meetings to ensure all topics are covered.

  • Planning and administering meetings (separate from aforementioned committee meetings) both within the program and across SON departments.

  • Managing the work of student employees and overseeing their timesheets.

  • Developing various program reports (budget and non-budget). (i.e. student information for clinical placements, summarizing data across progressions meetings from various semesters, etc.)

  • Maintaining and updating student and program databases.

  • Managing annual program budgets of approximately 7 million dollars (combined).

  • Planning and organizing an orientation for part time clinical instructors (approximately 100-150 instructors annually)

  • Leading students through administrative processes and issues and coordinating meetings with the program director when necessary.

The position requires a meticulous understanding of both academic programs [MSN (Entry into Nursing) and Healthcare Organizational Leadership], and how the programs operate within the context of the SON and University, particularly in relation to academic and administrative policies.

Minimum Qualifications

  • Bachelor's Degree.

  • Three years progressively responsible experience in program administration in an academic environment.

  • Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.
