The University of Maryland Carey School of Law is seeking an Assistant OR Associate Director of Registration and Enrollment.This position will be filled as either an Assistant Director or Associate Director dependent on the selected candidate’s qualifications. The Office of Registration & Enrollment (ORE) is primarily responsible for the academic administration of the Juris Doctor program as well as the Master of Laws (LLM) and Master of Science in Law (MSL) programs. The office handles all matters related to course registration, grades, grading, grade reports, and class rank. ORE is also responsible for student records and exam administration. Additionally, the office monitors and enforces academic rules and regulations and supervises degree progress and certification, dual degree programs, and interdisciplinary study. Reporting to the Director of Registration and Enrollment, the Assistant or Associate Director of Registration and Enrollment is primarily responsible for managing the law school faculty curriculum course database and student information system for academic records, serving as the law school’s primary VA Certifying Official, serving as the primary point of contact for our dual enrollment students, and assisting in developing registration system enhancements and record maintenance to ensure that students have seamless and efficient experiences. PRIMARY DUTIES (Assistant Director): * Manage the law school faculty curriculum course database and student information system for academic records. Collaborate with the Vice Dean and Assistant Dean for Academic Affairs in updating curriculum and faculty information. Propose changes to policy when needed. * Serve as the law school’s primary Veteran’s Administration (VA) Certifying Official. Inform the Department of Veteran Affairs of any changes requiring approval. Keep up to date on current VA rules and benefits, assist VA students in applying for education benefits, monitor grades to ensure students are making satisfactory progress, certify enrollment of eligible students to the VA, and maintain records of VA students to provide necessary files and information during site and supervisory visits. * In consultation with the Director of Registration and Enrollment, assist in developing, enhancing, and implementing strategic direction for ORE including the registration process and record retention. Assist in developing registration system enhancements and record maintenance to ensure students have seamless and efficient experiences. * Serve as the primary point of contact for our dual enrollment students. Work collaboratively across administrative units and with external stockholders to develop and implement procedures pertaining to dual enrollment. * Prepare mandated reports and statistical data for internal and external audiences. Provide and implement recommendations to improve record management. * Research, identify and modernize database integration and functions working with law school IT and campus IT to create integrated data and report tabulation. * Stay current with records management techniques relating to imaging, disaster recovery, retention schedule, and other critical issues. Network with other Registrar’s offices within UMB and nationally. Proactively represent the department through participation in campus meetings and special projects. * Actively lead and organize meetings with other registrar offices in conjunction with the campus registrar’s office to facilitate information sharing and best practices for registrar offices within University of Maryland, Baltimore system. Advocate for services beneficial to registrar offices and our students. * Continuously review student data to ensure integrity, accuracy, and security. Ensure compliance with the University’s retention policies. Preserve confidentiality of record information of students under FERPA protections except when permitted to disclose by an exception under FERPA protections. * Assistant the Director of Registration and Enrollment with exam administration as needed. * May be asked to supervise registration and enrollment office staff. * Perform other duties as assigned. * * PRIMARY DUTIES (Associate Director): Perform all listed duties of the Assistant Director in addition to: * Provide advice to students regarding academic regulations, course requirements, graduation requirements, certificate requirements, and time management requirements for graduation; monitor student academic standing, probation, and suspension; assist the Director of Registration and Enrollment certify completion of graduation requirements and eligibility for bar examinations for all students. * Manage the Registration and Enrollment specific content on the law school’s website. Make recommendations for improvement and work with IT to keep the information up to date. * Work with the ORE team to create and update publications related to advanced registration and registration in SURFS by class, Degree Works, dual enrollment students, Military and Veteran Students, and more. * Work in conjunction with the Director of Registration and Enrollment to process and record student grades, submission of grades, processing of grade changes, and tabulation of academic and graduation honors listings. * Oversee the waitlist process for Fall, Summer, and Spring registration. * Supervise and mentor the Records and Registration Coordinator who is primarily responsible for ensuring that students have the appropriate information needed to make informed decisions regarding registration, change of schedule, graduation requirements, and withdrawals and that the requests are processed sensitively, accurately, and according to school policy. MINIMUM QUALIFICATIONS (Assistant Director): * Education: *Bachelor's degree in a related field of study. *Experience: *Five (5) year of experience in academic records and registration experience. Experience working with complex data systems is required. Knowledge of both the technical and operational aspects of systems used by the Office of the Registrar. Knowledge of data manipulation tools, reporting, and data integrity required. * *Supervisory Experience: *One (1) year of direct supervision or responsibility for training, work coordination, and monitoring work of others required. * *Other:Prior Banner experience preferred. MINIMUM QUALIFICATIONS (Associate Director): * Education: *Bachelor’s degree in a related field of study. Master's degree preferred. *Experience: *Six (6) years of experience in academic records and registration experience. Experience working with complex data systems is required. Knowledge of both the technical and operational aspects of systems used by the Office of the Registrar. Knowledge of data manipulation tools, reporting, and data integrity required. * *Supervisory Experience: *Two (2) years of direct management or leadership. * *Other:Prior Banner experience preferred. Knowledge of and background work with Veteran’s Administration (VA) process for students preferred. REQUIRED KNOWLEDGE/SKILLS/ABILITIES: * Ability to work independently with minimal supervision. * Skill in exercising initiative, resourcefulness, and sound judgment with an ability to solve problems and make decisions. * Ability to prioritize ongoing and new projects necessary to implementing a specific organizational program. * Skill in efficient and effective oral and written communication and with a variety of internal and external School of Law contacts. * Knowledge of databases and Excel spreadsheets. Ability to create reports and tailor data output from Excel spreadsheets, databases, and other relevant PC applications. * Accomplishes responsibilities by applying specialized and theoretical knowledge, principles, and concepts of a professional discipline normally acquired through advanced education or specialized training. * Resolves issues and significant matters on behalf of management by utilizing independent judgment, discretion, creativity, and analytical thinking. * Contributes to development and evaluation of goals and objectives. * Creates solutions to ensure legal and policy compliance. * May supervise, mentor, or coordinate work of others (positions that supervise are responsible for service delivery, quality assurance, and employee performance). * May independently manage or administer programs, processes, projects, or resources.
