Position Summary:

Florida Atlantic University is seeking an Assistant Director, Budget & Planning - Boca Raton, FL.

Summary of Responsibilities:

  • This position supervises the day-to-day operation of Facilities Management Business Office and serves as cost center manager for Facilities Management.

  • Position is responsible for supervision of departmental employees and in providing guidance and direction to staff in areas of construction accounting, utilities billing, maintenance and repairs billing, and human resources matters including: time entry, leave reports, personnel action forms, recruitment, etc.

  • Position is responsible for verification of all transactional processes, preparation of budget reports and management of staff.

  • Provides support to Director of Budget and Planning and Director of Design and Construction Services for solicitation, selection process coordination and negotiations of contracts for major and minor projects.

  • Provides support to Director of Budget and Planning for managing contract terms for all continuing services contract for timely processing of amendments, contract renewals and valid certificate of insurance documentation.

  • Established performance goals and measures to evaluate success of assigned area of responsibility.

  • Responsible for managing the functions of the business office which include preparing budget reports for the Director, Budget and Planning and the Assistant Vice President, Facilities Management.

  • Assists in the overall budget preparation.

  • Individual is responsible for guiding and forecasting departmental budgetary needs based on forecasting utilities expenditures, multiyear contracts and pricing escalations, management of service agreements, preventative contracts, etc.

  • Individual will provide support to unit Directors in working with FAU Purchasing Department and FAU General Counsel's Office to review all contractual terms and conditions for Facilities Management procurement of materials and services.

  • Responsible for tracking ITN timelines and guiding unit Directors as to when contracts are due for renewal and/or new contracts are to be advertised.

  • Assists unit Directors in identify service contracts to be solicited through invitations to Negotiate (ITN); this includes providing assistant as needed in preparing the phases of communication from initial scope through contract negotiations.

  • This position is responsible for reviewing and tracking contract terms as it pertains to establishing annual operating budget to reflect accurate financial contract obligations.

  • Provides budgetary reports to unit directors for review and adjustments of blanket purchase orders.

  • Responsible for working with Assistant Vice President for Facilities Management and Director of Budget and Planning to formulate and implement policies and procedures for FM Business Office.

  • Responsible for ensuring that all programs, and activities comply with university, state, and federal regulations.

  • Performs other job related duties as assigned by the Director or other appropriate administrator.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization and two years of experience; or a bachelor's degree from an accredited institution in an appropriate area of specialization and four years of experience required.

Preferred Qualifications/Skills:

Master's degree in an appropriate area of specialization and four (4) years of appropriate experience; or a bachelor's degree in an appropriate area of specialization and six (6) years of appropriate experience.

Contract management knowledge/paralegal experience.

Accounting/bookkeeping experience.

Salary:

$75,000 - $80,000 per year.
