Job Summary

Manage contract administration process including document creation, review, modification, and finalization. Log and archive all contracts submitted by business units in accordance with Contract Administration Policy. Review, negotiate, edit and approve contracts in collaboration with the contracting business unit, consulting as necessary with the Manager and Corporate Counsel on complex, significant or legally sensitive matters. Maintain contract repository, database, and indexing system. Support the Request for Proposal (RFP) process, including RFP terms & conditions amendment and modifications. All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.

Job Responsibilities

  • Draft, review, edit and negotiate a wide range of contracts submitted by business units, including but not limited to contracts relating to the licensing of software, consulting and service agreements; hotel/event agreements and other supplier and vendor agreements. Coordinate interdepartmental review as applicable (i.e. IT Security review, Tax Review, Finance Review). Return reviewed agreements to business owners and respond to questions. Assist Senior Contract Specialist and Contract Specialist with questions and issues. Maintain the highest level of responsiveness and service to ensure all contracts submitted by business units are reviewed in a timely fashion. Manage and meet aggressive SLAs and help juggle priorities in a fast-moving environment.
  • Primarily responsible for review and negotiation of complex contracts such as IT Enterprise License Agreements and SaaS Agreements, Claims Managed Services, ALAE and Workers' Compensation Agreements, HR related contracts, (such as Master Services Agreements, Employment Agency, Speaker Engagement, Training and Coaching Agreements, etc.), Premium Audit, and Facilities contracts, along with general Statements of Work, Amendments and Change Requests.
  • Manage the 5-year plan to review and renegotiate Legacy contracts, maintain the Ariba Groups listings, etc.
  • Assist the contracts team by solving problems, strategically determining the best course of action, respond to escalations and providing support as needed. Coordinate with the team to strategize and improve on contract operations and initiatives and regularly seek ways to optimize for speed, accuracy, efficiency and quality.
  • Maintain complete and accurate records for correspondence and documentation in relation to established contracts and those in progress.
  • Understand and be fluent in the Ariba system. Develop and conduct of webinars for company-wide training of the Ariba contracting process. Demonstrate and answer questions as necessary in order to help facilitate the Ariba submission process.
  • Coordinate the development, maintenance and proofing of standard contract templates and maintain and update database of key contract terms and acceptable fallback positions.
  • Develop and deliver Ariba training programs for internal Business Units and provide ongoing assistance, as requested. Develop and implement policies, procedures, and practices for contract department operations. Provide updates to the Contract Administration Policy for yearly company-wide distribution and execution.
  • Manage and promote professional development and career growth for Senior Contract Specialist and Contract Specialist
  • Possess the ability to think strategically and communicate effectively at varied levels of management to articulate strategies, solutions and outcomes. Participate in special assignments and provide support as required.
  • Possess strong personal computing skills, including proficiency with Microsoft Office products (Word, Excel, PowerPoint, One Note, etc.)

Job Qualifications

  • College degree required.
  • 5+ years' experience in contract review and administration.
  • Some experience in project management preferred.
  • Paralegal certification or legal background preferred
  • Excellent customer service, networking and relationship building skills.
  • Excellent negotiation skills.
  • Strong leadership and problem-solving ability.

The expected starting salary range for this role is$146,000 - $209,000. The actual base salary is based on geographic location, and the range is representative of salaries for this role throughout Selective's footprint. Additional considerations include relevant education, qualifications, experience, skills, performance, and business needs.
