Role Purpose

Implementation & Execution, Can include furniture, signage & design coordination Meta Job Category: Workplace Design (WPD) Project Manager Job Purpose: The purpose of this position is to provide support to the Client's Workplace Design Team with the operation, administration and management of workplace design projects from inception through completion in a fast-paced environment.

Key Responsibilities

Primary contact for design, workplace standards, design reconfigurations and construction coordination for furniture. As Client’s Subject Matter Expert, expected to provide insight and consultation to the client on all aspects of the work.

Collaborate with external architects and designers, General Contractors and Construction Project Managers, Furniture Vendors and internal teams to ensure that each project adheres to global space design and global furniture guidelines.

Support internal teams and provide design direction at all stages of design development with regards to workplace standards, design reconfigurations and furniture selection layouts.

Coordinate all aspects of the project, including the budget where required, scheduling operational needs, procedures, Meta’s standards, sustainability design, and QA/QC program requirements.

Represent the Client’s Workplace Design Team in region or support other global regions as required to cover for team members out of office, embodying their design and quality standards.

Strong technical aptitude as it relates to furniture, fixtures and equipment in the workplace.

Manage furniture selection for WPD projects and ensure compliance with look and feel and standards. Including but not limited to fabric, color, ergo compliance and performance criteria.

Detailed review of furniture layout drawings.

Draft new project proposals in CAD, prepare presentations in Google slides, with scope of works, exact furniture pieces and move coordination from other sites/order new.

Work closely with the furniture vendor to create a furniture package that is aligned with Meta’s standards while also understating the needs of the local team.

Support operational / adhoc furniture purchases and daily furniture logistics, including daily furniture task system fulfillment.

Manage the timeline with the furniture vendor – ensure timely order placement, track costs, coordinate delivery/installation and manage furniture punch list close-out.

Process furniture ticket system (Task) to fill employee and departmental furniture requests.

Coordination with project technical teams including Project Architect, AV, Environment Health and Safety, Security, and Culinary.

Support internal teams with regard to end user requirements and share comments on test fits plans, look and feel and/or space plans based upon programming requirements.

Represent Workplace Design at project meetings across EMEA and manage an internal tracker of project updates.

Conduct site audits of existing sites and report findings, update CAD plans and collaborate with CAFM and MAC teams.

Communicate and coordinate with high level management on requests.

Ability to prioritize, coordinate and execute under deadlines.

Provide weekly updates on project review status reporting and maintain typical project documentation as required. Participate in global team meetings and knowledge share calls.

Communicate with management, prepare and make presentations to leadership and other teams within the business.

Person Specification/Requirements

Fluent written and verbal communication skills, English comprehension and spoken English.

Ability to work independently and autonomously.

Solutions focused at all times towards successful project and client outcomes.

Strong organizational and analytical skills.

Ability to provide efficient, timely, reliable, and courteous service to clients.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.

Ability to write reports, compile and give presentations to the client, colleagues and stakeholders.

Ability to effectively present information to an internal department and/or groups of stakeholders.

Strong level of computer literacy and knowledge of typical key packages. – Google Workspace, Excel, Outlook, Bluebeam, and Visio.

High degree is skills in AutoCAD, producing and managing design schedules and furniture design.

Ability to work successfully under pressure in a fast-paced environment on projects and with teams located in different time zones.

Knowledge: Architecture, Interior Design, AutoCAD drawing support, design schedules and, furniture design and applicable technical support.

Experience: 5 years + related work experience in a fast paced high tech environment in Workplace Design, Interior Design, and Architecture.

Aptitude: AutoCAD Proficient. Workplace design, furniture, project and design management.

Resilient and able to work fluidly between team collaboration, independently. High degree of efficient communication and maintaining excellent client expectations

Circumstances: Business travel may be required in this role within the EMEA region. Circa 10-20% travel may be required.
