UW Facilities manages the University’s buildings, infrastructure, and land, with more than 1,100 employees in a variety of fields. Organizationally, UWF consists of six major units: the Asset Management group includes Project Delivery Group, Engineering Services, Campus Architecture and Planning, and Sustainability; the Operations group includes, Maintenance & Construction (buildings and grounds, including building systems), Building Services (custodial and waste management/recycling), Transportation Services, and Safety; Campus Energy, Utilities & Operations manages the major recapitalization of the University’s utilities infrastructure while overseeing the continuous delivery of utility services across campus; the business operation of UW Facilities is managed by Finance & Administration (HR, Finance, Procurement & Sourcing, Communications, and Campus Stewardship and Capital Budget); the UW Real Estate group manages real estate development via public private partnerships, real estate transactions and a portfolio of properties to meet the future needs and aspirations of the institution. The UW Real Estate (UWRE) team handles property transactions, asset management, project management, finance and accounting, and data management, with real estate services provided to all three UW campuses (Seattle, Tacoma and Bothell), medical centers, research field stations, biological preserves, and various off-campus and international locations.

We have an excellent opportunity for a Construction and Tenant Services Manager in our Real Estate department to provide construction oversight and coordination of tenant services to enhance the University’s tenancy in privately owned space and occupancy in off-campus UW owned space. This position reports to the Property Operations Manager.

Primary Duties and Responsibilities

Responsibilities include participation in space selection, management and oversight of tenant improvements, approval of invoices, facilitation of initial occupancy and lease close outs, and reporting.

Specific areas of responsibility are as follows:

Construction Coordination (60%)

Work with professional service providers (architects, designers, and engineers) to develop plan specifications, drawings, and budget estimates for construction of initial tenant improvements prior to occupancy by University tenants. Similarly, during the lease term coordinate tenant construction projects as well as minor repair and maintenance. Work with University occupants of owned off campus space and with campus partners such as UW Facilities Strategic Sourcing to plan, scope, bid and execute maintenance, repair and construction projects. Coordinate construction and scheduling with project team, including other UWRE staff, University administration and contributing departments, landlords and contractors. Ensure timely and accurate communication of information to University tenants/occupants. Facilitate and manage projects through completion with particular emphasis on ensuring goals for project budget and schedule are met. Manage, track, and approve invoices, and provide project reports.

Tenant Services Coordination (30%)

Develop and maintain close working relationships with schools, colleges, and departments to ensure successful occupancy in all leased facilities. Represent University tenants’ interests with landlord and landlord’s service providers for maintenance and repair in tenant space as well as landlord’s work in common areas. Perform Move-In and Move-Out condition reports for all leased facilities. Manage, track, and approve invoices for tenant-requested services to ensure landlord is paid in timely manner. Act as intermediary between University tenants and property managers or landlords over the lease term and resolve conflicts that may arise.

Special Projects (10%)

Participate in special projects and additional duties as assigned.

Requirements include:

• Bachelor’s Degree and a minimum of 3 years’ experience in construction management or construction/real estate related field. • An understanding of planning, design, construction management and respective terminology. • Self-starter with strong interpersonal, analytical, problem solving and consensus building skills. • Able to work independently and as part of a team on multiple projects, prioritize, follow up and bring to conclusion. • Quick to learn and adapt to new processes. • Demonstrated proficiency in Microsoft Office Suite.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired:

• Proficiency in Yardi, PM Web and Workday a plus.
